How it works

Everything between “sent the quote” and “got paid”.

From knowing who you’re dealing with to money in the bank — one flow, no spreadsheets, no chasing.

01

Identify

Know exactly who you’re dealing with. Every business is verified against the Australian Business Register — with beneficial-ownership and sanctions checks on the Compliance plan.

02

Agree

Lock in legally sound terms of trade, signed on the spot on any device — by everyone who needs to sign.

03

Secure

Take a deposit on acceptance and — for business customers — register a security interest on the PPSR, so you’re protected before the work starts.

04

Collect

The balance collects itself, and retries a backup card if one fails. You just get paid.

Terms that actually protect you
Costs recoverableYour admin and collection costs are recoverable under your terms — chasing a debt shouldn’t cost you twice.
2.5%/mo interestCharge compounding interest of up to 2.5% per month on overdue amounts, written into every agreement.
Never beaten in courtOur terms of trade have never been beaten in court. Full stop.
What you get

Credit control that runs itself.

The paperwork, the payments and the compliance in one place — so the admin between winning work and banking the money mostly disappears. And if the form you need doesn’t exist yet, you can build it.

For accounting firms

A client file that stands up to scrutiny.

Engagement terms, identity, ownership and the money — captured in one place, in order, with a record of who did what and when. Built by an accounting practice that has to satisfy the same obligations you do.

  • Onboard a client properly, first timeEngagement terms signed, identity verified, ethical clearance sent to the previous accountant — as one flow, not four separate jobs on someone’s list.
  • Moving off Ignition? Bring your whole book with youDrop in your Ignition exports and we rebuild your client book automatically — services and pricing exactly as they were, ready for each client to re-sign, with no manual re-keying.
  • Know who you’re really acting forResolve beneficial ownership through companies and trusts down to the actual people and screen them against the DFAT sanctions list before you take them on.
  • Every decision is on the recordEscalations, overrides and determinations are written to an append-only log with the reason attached — so the file explains itself long after everyone’s forgotten the detail.
  • Get paid like a business, not a favourFees on direct debit or card from the day the engagement is signed, with your terms of trade doing the work behind them.
  • Engagement letters that never go staleRe-issue every engagement automatically — on each client’s anniversary, or on a fixed date like 1 July so the whole book renews with the financial year. No annual chase.
For trade businesses

The money’s secured before the van leaves.

Hold up to $20,000 on the customer’s card before you start, charge it the moment you’re done and run the whole thing off the job you’ve already booked in ServiceM8 or Fergus — without typing it twice.

  • Your job-management software, wired inSend a quote from ServiceM8 or Fergus and the terms, deposit and balance ride along with it — the job stays where your team already works.
  • Hold the money before you leave the depotPre-authorise up to $20,000 on the customer’s card when they accept — the funds are held, not taken. Finish the job, capture the payment, done. No invoice, no chasing, no credit risk.
  • Never start a job unsecuredDeposit on acceptance, balance locked in for completion and — if you’re working for another business — a security interest registered over them on the PPSR for a flat $22.
  • Buy now, pay later — on your invoiceLet a homeowner spread the cost through Afterpay or Klarna while you’re paid in full, up front — at the provider’s own rate, passed straight through with nothing added. We don’t know of anyone else offering this on a trade invoice out of the box.
  • A card that fails doesn’t become your problemFailed payments retry against a backup card automatically, and you and the customer both get told — no discovering it three weeks later.
Why Pay My Business

Four things that put you in the best position.

Plenty of tools will send a document, and plenty will take a payment. Who else does the agreement, gets you the money and handles the compliance as a single chain of evidence?

01

Proof, not just a signature

Every signature is captured with the signatory’s IP address, a timestamp and — if you want it — a photo of the person as they sign, taken on their own phone. If an agreement is ever questioned, you’re holding evidence rather than an assertion.

Sign by selfie
02

The agreement collects the money

Your customer adds a card or bank account at the moment they accept your terms — so the deposit is taken on acceptance and the balance is already scheduled. Getting paid stops being a separate chase.

Deposit on acceptance
03

A forms engine, not a fixed product

Terms of trade, credit applications, onboarding packs, safety checklists, ownership declarations — build whatever document your business actually needs and send it for a legally binding signature the same way.

Build anything
04

Secured before you start the work

Hold up to $20,000 on a card before the job begins and capture it when you finish — so you carry no credit risk at all. Trading with another business instead? Register an AllPAP security interest over them on the PPSR for a flat $22 and get told if their ABN is cancelled.

Questions

The things people ask before they start.

Most people arrive here because someone told them to. If there’s one thing you want to know before you try it, it’s probably here — and if it isn’t, just ask us.

Do I have to change my accounting software?
No. Pay My Business sits alongside what you already use. Xero connects directly — import your contacts or bring customers in from your invoices — and QuickBooks is next. Using something else? Email support@paymybusiness.com.au to register your interest and we’ll prioritise it. Either way you’re not locked out in the meantime: bring your customers in from a CSV export, and if you’ve invoiced somewhere we don’t connect to yet, upload the invoice and we’ll still collect it for you.
How long does it take to set up?
Minutes, and you do it yourself — there’s no sales call and no onboarding queue. A guided setup walks you through your logo, business details, payment terms and how you get paid. Most people are sending their first terms of trade the same day.
Do I need a merchant account or payment gateway already?
No. Your payment account is set up for you as part of onboarding — there’s nothing to arrange beforehand and nothing to configure yourself. Payments settle into your own bank account: we never hold your money.
What happens when the 7-day trial ends?
Nothing is charged automatically — we never ask for a card, so there’s nothing to cancel and no surprise invoice. You can still log in after day 7, you’ll just be prompted to pick a plan before you can carry on using it. Your account and everything in it is waiting for you when you do.
When do I actually get paid?
Funds settle directly into your own bank account, within two business days at most — we don’t sit in the middle of your money.
Can I use my own terms of trade?
Yes. We generate a set for you — tailored to your business and to whether you’re billing consumers or other businesses — and we keep them current as new legislation lands. That’s deliberate: they’re the same terms we rely on ourselves, they’ve never been beaten in court and they’re flexible enough to cover just about anything you’re likely to need. But if you’d rather use your own, you can — our custom terms feature lets you bring in and manage your own terms of trade instead. Already had your own drafted and want to talk it through? Get in touch and we’ll go through it with you.
Is there a lock-in contract?
No lock-in. Plans are monthly, and you can change plan or stop when it suits you.
Do my customers need an account or an app?
No. They click a link, read your terms, sign on the screen and add a payment method — on their phone, no app, no password. If they come back later there’s a self-service portal they get into with a one-time email link, where they can see their invoices, pay a balance and manage their saved cards.
How safe is my data and my customers’ card details?
Card details never touch our servers. They’re captured directly by PCI-certified payment infrastructure and we only ever hold a token that can’t be used anywhere else. Your documents and data are stored in Australia.
Can I bring my existing customers across?
Yes, and you shouldn’t have to reformat anything to do it. If you’re on Xero, import your contacts directly. Otherwise upload a CSV in whatever shape it came out of — we’ll work out which column is the customer name, which is the email, which is the ABN and so on, whether it’s an export from your accounting system or a spreadsheet someone’s been keeping by hand. You can do a dry run first to see exactly what would be created before anything actually is.
I’m not a tradie or an accountant. Is this for me?
Yes. If you sell to anyone and don’t get paid up front — anything other than retail, basically — then this is for you. Without the right credit process you’re an interest-free, agreement-free bank, and your customers decide when you get paid. With one, you decide. It makes no difference whether your customers are consumers, other businesses or both — the plans are built around who you bill, not what you call yourself.
What if a customer disputes a payment?
In practice, most disputes never make it that far. Someone who was never really planning to pay you takes one look at signed terms of trade, an ID check and a card on file, decides you’re too hard and finds an excuse to walk away before the work starts. That’s the point — the process filters them out at the front end, when it costs you nothing but a quote. And if someone does get through and disputes it later, you’re holding about the strongest position you can: signed terms, the IP address and timestamp of the signature, a photo of them signing if you asked for one and a record of exactly what they agreed to and when.
What if a customer just doesn’t pay?
Signed terms of trade come first: your costs are recoverable and interest runs on overdue amounts, so people tend to pay. If an invoice does go overdue, our debt-escalation tool (coming soon) itemises the principal, your admin fees and interest at the rate in your own terms — worked out day by day — into a worksheet for a letter of demand or your solicitor. How it works →
Can I connect it to my other software?
Yes. Xero, ServiceM8 and Fergus connect directly (QuickBooks is next). Webhooks send signed events to your own systems, your Google or Microsoft contacts pick up each customer who signs, Mailchimp can add them to your audience and signed forms file themselves into your Google Drive, OneDrive or Dropbox. Embedding forms on your own website and API access are coming soon. See all integrations →
